  1. Booking and Client Experience

    At Baby Art HQ, we’re here to make booking your session as seamless as possible. From the moment you choose a package and complete your booking, we hand you over to one of our carefully trained local franchise studios, who will guide you through a memorable and enjoyable experience.

    Each Baby Art studio is independently owned but operates with the same dedication to excellence that Baby Art HQ upholds. Our franchisees are extensively trained in customer care, baby health and safety, and the art of photography to make sure every session meets our high standards of quality and satisfaction. From capturing beautiful moments to delivering cherished products, your local studio is fully committed to providing exceptional service and making you feel supported every step of the way.

    At Baby Art HQ, we value all feedback, as it helps us keep our training programs strong and ensure a fantastic experience for each of our clients. Although we don’t handle local issues directly, we’re always here to listen to your thoughts and suggestions.


  2. Non-Refundable Package Fee

    Our package fee is non-refundable due to the high demand for our services. However, in the unfortunate case of an unsuccessful pregnancy, we will refund your package fee and deposit in full.


  3. Maternity Session Opt-Out

    If a maternity session is not suited to your needs, we recommend our Watch Me Grow package instead, which you can explore here:

  4. Package Completion Requirements

    By signing up for our Bump to Baby or Watch Me Grow Package, you commit to attending all sessions within your chosen package (with the exception of the optional maternity session) to keep the package valid. Missing, canceling, or opting out of any required session will forfeit any paid fees, deposits, and any ‘My 1st Year’ 3D framed casting (for packages purchased before 1st September 2021). Additionally, you agree to cover the costs of missed sessions. For clients who prefer flexibility, sessions are also available for individual purchase.


  5. Complimentary Prints and Digital Files

    At each session, you will receive a complimentary 7” x 5” print (valued at £60) along with a high-resolution digital file. These complimentary items are selected from standard images only and cannot be chosen from our ‘Signature’ range.


  6. Copyright and Image Reproduction Rights

    All images captured by Baby Art Studios remain the copyright of Baby Art HQ Limited. Reproduction of images purchased from Baby Art Studios is not permitted unless you have received written permission in the form of a ‘Right to Print’ form from the studio manager. By participating in our sessions, you grant Baby Art Studios, including its related corporations and successors, the right to use images from your sessions for promotional purposes. This usage does not confer reproduction rights to the client, except where otherwise stated in writing.


  7. USB Media Policy

    Our USB products are non-refundable, as the media can be duplicated. Should there be any defect with the USB, we will replace it within five days of purchase. The USB will only contain the images presented to you during your viewing session; please note that ‘Signature’ images, panoramic designs (e.g., baby on the shelf), and custom image designs are not available on USB.


  8. Print Product Orders

    Our print products are sourced from professional photography labs to ensure the highest quality. Orders placed with a local Baby Art studio are the full responsibility of that studio to fulfil. All payments for print products should be made through the Baby Art Portal; please do not make any payments directly to a local studio’s personal bank account, PayPal, or other personal payment methods. If you are asked to make a bank transfer, ensure it is to an account named "Baby Art HQ Limited." Once an order has been placed and paid for in full, changes or cancellations are not possible. Screen images may vary slightly in colour from final printed products, so please have an idea of the sizes and options you require before finalising your purchase. Allow up to 28 working days for delivery; in rare cases, orders may take longer, in which case you will be notified.


  9. Gift Vouchers

    Gift vouchers are non-refundable and hold no cash value. They are valid until the date specified on the voucher. All sales of gift vouchers are final.


  10. Promotional Vouchers and Booking Deposits

    For promotional vouchers, including Groupon and prize vouchers, a fully refundable £35 deposit is required to secure your package. This deposit ensures attendance at all sessions and will be refunded upon completion of your package by the local franchise, not by Baby Art HQ.


  11. Relocation During A Package

    If you relocate midway through your package, we will make every effort to transfer your sessions to the nearest Baby Art studio. However, as our franchises are independently owned, this may not always be possible.


  12. Studio Safety

    The safety of our clients is of utmost importance. While our Baby Art Studio staff maintain a high standard of safety within the studio, we require parents or accompanying adults to accept full responsibility for themselves and their children while on Baby Art Studio premises.


  13. Facebook Live Giveaways

    Deposits and package fees for sessions booked through Facebook Live giveaways are fully refundable upon attendance at all booked sessions. Any cancellations or non-attendance will result in the loss of the deposit and package fees. Complimentary gifts associated with your package will be provided upon completion of all sessions in the package. Please review our packages and FAQ page before committing to a promotional offer.


  14. Promotional Offers and Giveaways

    Payments for promotional packages and deposits are fully refundable only upon attendance at all sessions included in the chosen package. Cancellations or missed sessions will result in the loss of deposits and package fees. Complimentary gifts will be awarded upon completion of all sessions in the package. Please review our packages and FAQ page before confirming any promotional offer.

  15. In the Unlikely Event of Studio Closure

    In the very rare instance that your chosen Baby Art studio ceases trading, we’ll do our best to help you find an alternative Baby Art studio within an hour’s drive, so you can continue capturing those special moments. If relocating to another studio is not an option, please reach out directly to your original studio to discuss next steps. While Baby Art HQ does not take responsibility for individual studio operations, we’re always here to offer guidance and answer any questions you may have.
